Client Database

The My Clients page is a table of everyone who has submitted a testimonial through your collection links, plus any clients you have added or imported manually. Access it by clicking Clients in the left sidebar.

Searching and filtering

Use the search bar to find clients by first name, last name, email, or company. Results update as you type.

Click Filter to filter the table by tag. When tags are active, the button shows a count. Clients must match every selected tag for a row to appear.

Click Fields to control which columns are visible and in what order.

Table columns

The following columns are visible by default:

  • First Name (always shown)

  • Last Name

  • Email

  • Company

  • Phone

  • Testimonials โ€” total testimonial count for this client

  • Videos, Images, Text Reviews โ€” counts per type

  • Status โ€” Active, Paused, or Inactive

  • Tags

  • Last Activity

Additional columns you can turn on include Job Title, Location, Product, Service, Documents, and any custom fields you have created. Toggle them on or off via the Fields panel.

Client status

Each client has one of three statuses:

  • Active โ€” the default for new clients

  • Paused โ€” temporarily not active

  • Inactive โ€” no longer active

Change a client's status from the row menu or from the edit panel. Status changes apply immediately.

Adding a client manually

Click New Client to open the client panel. Fill in the fields and click Create Client.

Required field: First Name

Optional fields include Last Name, Email, Company, Job Title, Location, Phone, Website, Notes, Product, Service, Quote (up to 150 characters), Profile Photo, Company Logo, Tags, Status, and any workspace custom fields.

Tags: Type a tag and press Enter or comma to add it. Press Backspace on an empty input to remove the last tag.

Viewing and editing a client

Click any row to open the Client Detail panel. It has three tabs:

Info โ€” contact details, quote, custom field values, and notes. If no details have been added, the section shows a prompt to use Edit.

Testimonials โ€” all testimonials linked to this client. Click a testimonial to preview it. From the detail view you can remove the link (the testimonial stays in your library, just unlinked) or delete it entirely.

Links โ€” all client-specific collection links tied to this client. Click a link to open it in the form builder.

Click Edit in the panel header to open the edit form with all fields. Click Save changes when done.

Row actions

Open the menu on any row to access:

  • Select โ€” enters selection mode for bulk actions

  • Edit โ€” opens the edit panel

  • Mark active / Mark paused / Mark inactive โ€” changes status immediately

  • Create collection link โ€” opens the collection link wizard with this client pre-selected

  • Delete โ€” permanently deletes the client

When you delete a client, their testimonials and collection links are not deleted. They stay in your workspace but are disconnected from the client record.

Bulk delete

Select multiple clients using the Select option in any row menu, then click Delete. A confirmation dialog appears. You must acknowledge that the action cannot be undone before confirming. Testimonials and links linked to those clients remain in your workspace.
